Aalis Management Consulting seeks an Executive Assistant to provide high-level administrative support to the federal agency leadership team, ensuring seamless coordination of schedules, communications, and office operations. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a proactive problem-solver with strong interpersonal skills and experience supporting C-level executives.

Key Responsibilities:

  • Manage and optimize daily calendars for leadership, including scheduling meetings, appointments, and events.
  • Serve as the primary liaison between executives, employees, clients, and external stakeholders.
  • Screen and direct incoming calls, take detailed messages, and handle inquiries promptly.
  • Facilitate internal communications, including distributing memos, scheduling presentations, and drafting correspondence.
  • Anticipate executive needs and prepare briefing materials, reports, or data in advance.
  • Exceptional written/verbal communication and interpersonal abilities.
  • Strong time management with a proactive, detail-oriented approach.
  • Ability to multitask, prioritize, and adapt to changing demands.
  • Must have a high degree of professionalism and confidentiality
  • Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
  • Experience with collaboration tools (Zoom, Slack, SharePoint) and ERP/cloud systems.
  • Familiarity with digital calendaring and workflow management tools.
Qualifications:
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 5+ years of experience as an Executive Assistant supporting C-level executives.
  • Ensure timely follow-up on action items and leadership requests.
  • Handle confidential information with discretion and professionalism.
  • Assist with ad hoc projects, event planning, and team initiatives.
  • Make domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Maintain and update internal databases, trackers, and documentation for leadership review.
  • Identify opportunities to improve office efficiency and implement solutions.
  • Troubleshoot technical or logistical issues (e.g., scheduling conflicts, AV malfunctions).
