In this role, you will deliver essential administrative and technical assistance to the FOIA office, helping senior specialists process requests and ensure compliance with the Freedom of Information Act.

Aalis Management Consulting is looking for a detail-oriented individual to join our team in providing FOIA Administrative Support. In this role, you will deliver essential administrative and technical assistance to the FOIA office, helping senior specialists process requests and ensure compliance with the Freedom of Information Act.
Key Responsibilities:
- Serve as a first point of contact for FOIA requests. Receive, acknowledge, and log new requests into the department’s FOIA case management system (e.g., FOIAXpress), ensuring all information is accurate and complete.
- Under supervision, task appropriate program offices and bureaus to search for and collect records responsive to FOIA requests. Track submissions and follow up to ensure timely responses.
- Assist senior FOIA analysts in preparing documents for review. This includes duplicating, redacting, and organizing responsive records according to established procedures.
- Draft routine correspondence, such as acknowledgment letters, status updates, and final response letters, for review by a senior specialist. Professionally communicate with requesters via phone and email regarding the status of their requests.
- Perform key administrative tasks to support the FOIA program, including maintaining case files (both electronic and hard copy), processing mail, and assisting with the preparation of data for annual reports.
- Conduct preliminary research on FOIA requests to help identify potential responsive records and relevant program offices.
- Actively participate in training on the FOIA, Privacy Act, DOI regulations, and the use of case management software to build expertise and advance to more complex duties.
- Must have three years of specialized experience demonstrating attention to detail, proficiency in written communication, and a commitment to customer service, as evidenced by tasks such as processing documents, managing files, and responding to public inquiries.
- Must have three years of experience in assisting with processing requests or claims, applying regulatory or legal guidelines, utilizing databases to track information, and drafting formal correspondence.
- The ability to manage multiple tasks effectively and prioritize responsibilities is required.
- Must have excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, specifically in Word, Excel, and Outlook, is necessary.
